Welcome to GentleRidge. By accessing or using our website, booking our tours, or using any of our services, you agree to be bound by these Terms and Conditions. Please read them carefully before proceeding with any booking or using our services.
In these Terms and Conditions, the following terms shall have the following meanings:
To make a booking, you must complete our booking form (online or in writing) and pay the required deposit or full payment, as applicable. A binding contract will exist between us once we have issued a Booking Confirmation to you.
Persons under 18 years of age cannot make bookings without the consent of a parent or legal guardian. Some tours may have minimum age requirements which will be specified in the tour details.
A non-refundable deposit of 25% of the total tour price is required at the time of booking. The balance payment is due 60 days before the departure date. For bookings made within 60 days of departure, full payment is required at the time of booking.
We accept payment by major credit cards (Visa, MasterCard, American Express), bank transfers, and PayPal. All payments must be made in the currency specified on the invoice.
We make every effort to ensure that the prices quoted on our website are accurate. However, errors may occasionally occur. If we discover an error in the price of your tour, we will inform you as soon as possible and give you the option of confirming your booking at the correct price or canceling it. If we are unable to contact you, the booking will be treated as canceled.
The specific inclusions for each tour are detailed in the tour description. Generally, tour prices include accommodation, transportation as specified, sightseeing as listed, services of our tour guides, and applicable taxes.
Unless otherwise specified, tour prices do not include international airfare, visa fees, travel insurance, optional activities, gratuities, personal expenses, meals not mentioned, beverages, and any other items not specifically listed as included.
We reserve the right to amend our prices at any time before a booking is made. After a booking has been confirmed, we may increase the price only if there is an increase in transportation costs (including fuel), changes in applicable taxes or fees, or exchange rate fluctuations. Any such increase will be limited to 8% of the original tour price. If the increase exceeds 8%, you have the right to cancel the booking and receive a full refund.
If you wish to make changes to your booking after the Booking Confirmation has been issued, we will do our best to accommodate your request. An administration fee of £50 per person may apply, plus any additional costs incurred in making the changes. Changes requested within 60 days of departure may be treated as a cancellation and rebooking, subject to our cancellation policy.
If you need to cancel your booking, you must notify us in writing. Cancellation charges will apply as follows (based on the date we receive your written notification):
We strongly recommend that you purchase comprehensive travel insurance that includes cancellation coverage.
We reserve the right to make minor changes to your tour arrangements if necessary. Minor changes include alterations to the order in which activities or destinations are visited, changes to accommodation of similar standard, or reasonable adjustments to the itinerary. For significant changes, we will inform you as soon as reasonably possible. A significant change is one that affects at least one day of your itinerary or changes your accommodation to a lower standard. In such cases, you may choose to:
We reserve the right to cancel tours for any reason, including insufficient participation or Force Majeure events. If we cancel your tour for reasons other than Force Majeure or your failure to pay, you may choose between an alternative tour (with any price difference being refunded or charged accordingly) or a full refund of all monies paid. In addition, we will pay compensation as follows, except where the cancellation is due to Force Majeure:
It is your responsibility to ensure that you have valid passports, visas, and other travel documents required for your journey. Your passport should be valid for at least six months beyond the end of your tour. We cannot accept any liability if you are refused entry to a country due to incorrect documentation or failure to comply with entry requirements.
It is your responsibility to ensure that you are aware of any health requirements or recommendations for your destinations and to ensure that you carry all necessary vaccination documentation. We recommend that you consult with your doctor or a travel health specialist well before your departure date.
We strongly recommend that all clients obtain comprehensive travel insurance that includes coverage for medical expenses, emergency evacuation, trip cancellation, and loss of luggage and personal effects. Proof of travel insurance may be required before joining a tour.
The decisions of our tour leaders or local representatives are final on all matters that may affect the safety or well-being of any traveler or staff member participating in the tour. If you fail to comply with a decision made by a tour leader, or interfere with the well-being or mobility of the group, the tour leader may direct you to leave the tour immediately, with no right of refund.
You agree to accept the authority and decisions of our employees, tour leaders, and agents while on tour with us. If, in the opinion of any such person, your health or conduct at any time before or during a tour appears likely to endanger the safety, comfort, or happiness of yourself or any other person, or you are not abiding by the local laws and customs, we may direct you to leave the tour without refund.
If you have a complaint about your tour, you must inform our tour leader or local representative at the time, allowing an opportunity to resolve the matter while on tour. If the matter cannot be resolved after our representative's best endeavors to do so during the tour, your complaint should be made in writing to us within 28 days of your return.
We will accept responsibility for the arrangements we agree to provide or arrange for you as an "organizer" under the Package Travel and Linked Travel Arrangements Regulations 2018, as amended. Subject to these Terms and Conditions, if we or our suppliers negligently perform or arrange those services, and we don't remedy or resolve your complaint within a reasonable period, and this has affected your enjoyment of your tour, you may be entitled to an appropriate price reduction or compensation or both.
Our liability, except in cases involving death, injury, or illness, shall be limited to a maximum of three times the cost of your travel arrangements. Our liability will also be limited in accordance with and/or in an identical manner to:
We will not be liable for any failure to perform our obligations under these Terms and Conditions that is caused by Force Majeure. Force Majeure includes, but is not limited to, acts of God, war, threat of war, civil unrest, terrorist activity and its consequences, natural or nuclear disaster, fire, adverse weather conditions, epidemics, pandemics, unavoidable technical problems with transport, closure or congestion of airports or ports, and industrial disputes.
We act as an agent for transportation companies, hotels, ground operators, and other service providers. We shall not be held liable for any acts or omissions by these third-party suppliers, including delays, changes to services, accidents, or loss of property.
We are committed to protecting your privacy and personal information. By providing personal information to us, you consent to its collection and use in accordance with our Privacy Policy, which can be found on our website. We may disclose your personal information to our service providers and other third parties as necessary to provide your travel arrangements or as required by law.
The content of our website, including text, graphics, logos, icons, images, and software, is the property of GentleRidge or its content suppliers and is protected by international copyright laws. You may not reproduce, modify, distribute, or republish materials contained on our website without our prior written consent.
These Terms and Conditions and any disputes arising from them shall be governed by and construed in accordance with the laws of England and Wales. The courts of England and Wales shall have exclusive jurisdiction over any dispute arising from these Terms and Conditions.
We reserve the right to amend these Terms and Conditions at any time. The Terms and Conditions that apply to your booking are those in force at the time we issue our Booking Confirmation.
